Overview

Administratively supporting the SVP of Brand and the Brand division across the Sales, Sales Ops, Training and Marketing departments.  

Responsibilities

  • Act as a gatekeeper; consistently demonstrates solid understanding of priorities and proactively manages calendar across multiple time-zones.
  • Anticipates needs and proactively brings together resources to support and address issues in the Brand division.
  • Manages incoming correspondence and prioritizes competing requests; filters through requests independently and follows through on behalf of executives, as needed.
  • Assists with creation of presentations, content development, research/background information.
  • Coordinates highly detailed and complex travel arrangements.
  • Effectively manages relationships in a cordial and professional manner and consistently looks for new ideas to further develop working relationships.
  • Understands organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed.
  • Completes ad hoc administrative requests in a timely and through manner (expense reports, drafts and edits professional, well-written correspondence and documents in a timely manner).
  • Orders and keeps inventory of all office supplies needed by the Brand division.
  • Schedules meetings and reserves conference rooms.
  • Arranges for refreshments for meetings as necessary.
  • Works with new vendors and Accounts Payable to maintain proper documentation for invoice payment.
  • Creates purchase orders and processes invoices in SAP.
  • Reconciles the monthly Brand AMEX statement.
  • Order business cards and name badges for all Lupin employees.
  • Front desk reception coverage as needed.
  • Other duties may be assigned as needed.

Qualifications

  • Associates degree, Bachelor’s degree is strongly preferred.
  • Previous experience supporting executive level employees.
  • 2-5 years of administrative experience.
  • Strong verbal and written communication skills.
  • Ability to work independently, as well as part of a collaborative team, and assume additional responsibilities as required.
  • Exceptionally detail-oriented and well organized.
  • Demonstrates sound judgment and ability to reach decisions independently; focused on understanding the bigger picture – i.e., results oriented, rather than task oriented.
  • Ability to develop solid, trusted relationships.
  • Maintains focus with sense of urgency, while upholding respect for others.
  • Demonstrates professionalism and a positive customer service attitude.
  • Adapts well to changing plans and priorities; deals comfortably with ambiguity.
  • Strong computer skills (MS Word, Excel, PowerPoint, Outlook calendaring, Outlook email, etc.).
  • SAP experience preferred.
