  • Overview

    Role will support senior management and superivse office acitivities.  Will provide support for procurement, operations and quality by interacting with vendors and assisiting in archival of regulatory documents.  Manage visitors and site communications as well as organizing site activities such as lunches and seminars.  Will assist in travel arrangements for senior management.


    • Analyzes and organizes office operations and procedures. Assist in the procurement process, generate monthly projections, and manage filing systems, requisition of supplies, and other clerical services.
    • Researches and develops resources that create timely and efficient workflow for administrative functions within site.
    • Assists in documentation scanning and archival.
    • Provide administrative support to C.E.O and all senior management at R&D site which includes reviewing correspondence, preparation of expense reports, expedite courier packages, manage travel/hotel and event reservations; other tasks as assigned.
    • Provide general receptionist support including: Answering and directing calls, taking and relaying messages. Greeting and announcing visitors.
    • Assist in maintaining adequate inventory of office and kitchen supplies and determine need for replenishment when needed.
    • Will support staff in identifying, arranging, and coordinating lunchtime workshops and employee events. Maintains an updated contact list of employees & vendors and org charts on a regular basis and ensures distribution. Coordinate Lunch and Learn sessions and will assist in putting together presentations.
    • Provides support with selecting outside vendors and liaises with landlord for office Maintenance.
    • Maintains contact with clients and outside vendors
    • Handle all office maintenance requests and works with vendors to coordinate work
    • Supervises and ensures efficiency of Reception area.
    • Supervises and ensures cleanliness of office & conference rooms and ensures an overall professional appearance.
    • Liaises with management regarding business policies, procedures, and other activities to maintain consistency throughout the office. Establish, maintain, and oversee office procedures.
    • Communication of office related issues such as parking, badges, holidays, etc.
    • Assists in event planning, emergency planning & evacuation of personnel.


    • Bachelor’s Degree in Business, Finance or related field
    • Advanced Excel and reporting skills
    • Fluent English skills, written and verbal
    • 5 years of experience in an office managerial and procurement
    • Experience with Accounting and reporting software required – SAP preferred
    • Professional appearance and demeanor at all times
    • Excellent written and verbal communication skills
